Six steps before you send

Lock the brief's spelling, keep captions inside the 900×1400 safe zone, run a glossary pass, export a captioned and a clean version, stamp SAFE, and send a review link.

  1. 01

    Brief lock

Check product names, required claims and the call to action against the brief before you burn captions.

  2. 02

    Safe zone geometry

    Automated in Studio

Keep captions, the logo and product callouts inside the centred 900×1400 box, checked against the Spark Ads layout, not the organic feed.

  3. 03

    Glossary QA

    Automated in Studio

Match ingredient and brand names by sound, so a misheard name is caught before it is burned.

  4. 04

    Dual export

    Automated in Studio

A captioned MP4, plus a clean copy and SRT/VTT for the ad account.

  5. 05

    SAFE stamp

    Automated in Studio

Export only after SAFE. The stamp is your delivery receipt.

  6. 06

    Client review link

Send one review link before you invoice. The client approves placement and spelling in one pass.

What a UGC delivery should include

A complete UGC delivery has three files: the final 9:16 MP4 at 1080×1920 with burned captions, a clean version without captions for whitelisting and re-cuts, and the captions as an SRT or VTT file. On Creator and Agency, CapQA's dual export produces all three from one job.

How to hand the files over

Send one link, not attachments: email caps files at about 25 MB and chat apps re-compress video. Name every file the same way, with the variant last, put the usage terms in the delivery note, and let the client approve from a review link instead of a thread of notes.

File namesoakvale_hook_v3_Organic.mp4, oakvale_hook_v3_Clean_Ads.mp4, oakvale_hook_v3_Captions.srtOne stem per video, the variant last — a brand's media buyer finds the clean version without opening anything.
How it travelsOne link to a folder or to oakvale_hook_v3_CapQA_Delivery.zipEmail caps attachments at about 25 MB and chat apps re-compress video; a link keeps the master as exported.

ApprovalA review link the client opens without an accountOne place to approve or ask for changes, instead of notes spread over email and DMs.

When to run it

On every deliverable you invoice. If you edit in CapCut or Captions first, CapQA is the last step before the file leaves.

UGC delivery questions

What files should a UGC delivery include?

Three, unless the brief says otherwise: the final 9:16 MP4 with burned captions, a clean version without captions, and the captions as an SRT or VTT file. The clean version is what agencies run as a Spark Ad or re-cut.

What is a clean version?

The same edit with no burned-in captions or text. Agencies use it for whitelisted and Spark Ads, where the platform draws its own captions, and to cut new hooks without your text in the way.

What resolution do brands expect for UGC?

9:16 at 1080×1920 unless the brief says otherwise. It is the frame TikTok, Reels and Shorts fill, and the one every safe zone number in these guides is measured on.

How do I avoid caption revision rounds?

Lock the brand's spelling before you burn, keep captions inside the 900×1400 safe zone around y 1080, and check the file against ad layouts rather than the organic feed. Those three cover the usual caption rejections: typos, covered text and a missing clean file.
